Which policy covers what
OrbitIQ publishes a general privacy policy at orbitiq.app/privacy-policy covering the main website. This page covers the products: Read the Room and the Leadership Intelligence Interview. Where the two differ about anything you create or say inside a product — your RoomMaps, your session inputs, your interview — this page is the one that governs.
The short version
Read the Room stores your session so you can return to your RoomMaps. That includes the people you name, your narrative, and the generated read. We do this so the product can keep a history for you — not to watch you. The older 4-phase demo on /session still lives only in your browser tab and is not the live product.
What we collect
We collect what the product needs to run: your email (the key your reads are tied to), optional profile fields, session inputs, generated RoomMaps, and — if you use voice interview — intake details and transcripts. Voice audio for Tell Me More is sent to our transcription provider and is not kept on our servers.
Session data
On /study, session content is sent to our servers and stored so you can reopen a RoomMap. Third parties that may see content in order to generate a read or transcribe speech: our AI gateway (language model), ElevenLabs (speech-to-text), and HeyGen (live interview). Your reads are tied to your verified identity: signing in requires clicking a link sent to your own inbox, and since 31 August a second lock inside the database itself scopes every read to the fellow who created it. The OrbitIQ team can see that you signed in and how many reads you have made — never their content.
Payment information
If you subscribe, your payment is handled by Stripe. Your card number never reaches our servers and we cannot see it — Stripe holds it and shares only what we need to run the subscription: that a payment succeeded or failed, which plan you are on, and when the current period ends. We keep those billing records for as long as tax and accounting rules require, which is longer than we keep anything else, and separately from your RoomMaps.
Third-party services
We use hosting (Vercel), a database (Neon), payments (Stripe), email delivery (Resend), and the AI / voice vendors named above. Error monitoring (Sentry) records technical details when something breaks. We do not sell your data. Our AI gateway is configured to route only to providers that operate under zero data retention, meaning what you write is not stored by them and is not used to train their models. Institutional export/delete self-serve is not built yet — email contact@orbitiq.app.
How long we keep things
Your profile and RoomMaps stay until you ask us to delete them, because the whole point is that you can come back to them. Interview transcripts and consent records are kept for the life of the research they belong to. Sign-in links expire after 15 minutes and are single-use. Billing records are kept as long as tax rules require. If you ask us to delete your account, we remove your profile, your RoomMaps and your interview records; we keep the billing record, because we are required to.
Your rights
Email contact@orbitiq.app to request a copy or deletion of your stored profile, RoomMaps, and interview records. We will fulfill that by hand, within 30 days, until self-serve export and delete ship. You can cancel a subscription yourself at any time without contacting us — see the Terms.
Changes to this policy
If we make material changes, we will notify subscribers by email at least 14 days before the change takes effect.
